Terms & Conditions for Funding Support:
Eid Picnics
- Purpose of Funding
- Funding provided under this agreement must be used solely for the planning, delivery, and evaluation of the approved Eid picnic.
- The event must align with the stated objectives submitted in the funding application, with the aim of supporting New Muslims.
- Eligibility
- Applicants must be authorised representatives of an organising body, or an individual, who are able to manage the hosting of an Eid picnic.
- The host must be of age 18 years or over.
- The Eid picnic event must take place by Monday 15th June 2026.
- Details of the event (venue, date, etc.) must be shared with New Muslim Care (NMC) at least 10 days before the event.
- Application Process & Funding Allocation
- All applications will be made by full completion and submission of the Expression of Interest form.
- Each application will be reviewed by a panel setup by the funder (NMC).
- The panel will decide whether to fully or partially support based purely on the merits of the application.
- The panel in addition can place an application on a waiting list, or reject it. The former will be reconsidered if circumstances change, whilst the latter will not.
- The outcome from the panel is final.
- Available Funds
The total available funds (in the case of full sponsorship) for an Eid picnic will depend on the category in which the event organiser comes under. The table below depicts the three categories.

- Use of Funds
- Funds may be used for:
- Venue hire
- Catering and refreshments
- Event materials (e.g., signage, name badges, printed programmes)
- Funds may not be used for:
- Personal expenses
- Staff expenses
- Unrelated organisational costs
- Or, any other reason apart those specifically listed (venue, catering & event materials).
- Financial Accountability
- The organiser must maintain accurate financial records.
- A breakdown of expenditure must be submitted within 14 days after the event.
- All expenditure requiring reimbursement must be accompanied by itemised receipts.
- Funding will be released after the event and only if all the terms & conditions listed here are fully met.
- Branding & Acknowledgement
- The organiser must follow the funder’s (NMC) branding guidelines when using logos or acknowledgements.
- All promotional material must have the NMC logo and tagline on them.
- A copy of any promotional poster, together with social media/website links to the event, must be shared with NMC at the earliest and at least 5 days prior to the event.
- Photographs of the event and, where possible, testimonials, need to be shared with NMC at the earliest and within 5 days after the Eid picnic. By sharing the photographs, it will be understood that the host/organiser has consent from those in the photos.
- Both the photographs and testimonials may be used by NMC publicly and for marketing purposes. At no stage will any identifiable personal information be shared, unless specific permission is provided.
- Reporting Requirements
- A short post‑event report must accompany the expense claim form, including:
- Attendance numbers (total, New Muslims)
- Summary of activities
- Outcomes achieved
- Feedback from participants
- Financial summary
- Compliance & Conduct
- The event must comply with:
- Safeguarding policies & venue rules
- Health and safety regulations
- Equality, diversity, and inclusion standards
- Organisers must ensure the event environment is respectful, inclusive, and non‑discriminatory.
- Organisers of the Eid Picnic need to work within the framework of the Charity Commission. Political speeches and targeting any organisation, group, race, etc., is not acceptable at any stage. The conduct of the event will be the sole responsibility of the organiser.
- Cancellation or Changes
- The organiser must notify the funder immediately if the event is cancelled or significantly altered.
- The funder reserves the right to withdraw funding if:
- Terms are breached
- The event no longer aligns with agreed objectives
- Misuse of funds is suspected
- Liability
- The organiser is responsible for securing appropriate insurance (e.g., public liability).
- The funder is not liable for:
- Injuries
- Loss of property
- Event‑related disputes
- Any financial losses incurred, irrespective how these have materialised.
- Data Protection
- Any personal data collected must comply with GDPR.
- Data may only be used for the purposes stated in the application and event registration process.
- Acceptance of Terms
- By accepting funding, the organiser agrees to comply with all terms outlined in this document.
- Any breach may result in funding withdrawal and future ineligibility.
